The Challenge
The client approached APG after a challenging experience with their previous production vendor. The LED wall had been a major problem. It was not set up correctly, the aspect ratio was wrong, and the team was unable to layer or manage content in real time. Cue execution was unreliable, and presenters became frustrated throughout the event. Additionally, the AV vendor required the client to reformat all their content to fit the system, creating extra work during a compressed planning window.
This year, the client wanted a production partner who would take full responsibility for the technical execution, simplify the process, and create a better experience for their leadership team and attendees.
Our Solution
Our team managed both the event production and the show planning, allowing the client to stay focused on content rather than technical logistics. Specific support included:
Configured and operated a properly scaled LED display system with full content layering and real-time control
- Developed a single, integrated show script without requiring the client to reformat their presentation files
- Provided technical support for panel discussions, video playback, and full-session recording
- Delivered end-to-end audio, lighting, and scenic support, including flown PA, confidence monitors, audience lighting, and full-room uplighting
- Designed and implemented a wireless communication system for key staff and stage management
- Coordinated separate rehearsals for executive presenters and general session contributors
- Designed scenic elements to complement the venue, support branding, and enhance the visual impact
- Collaborated closely with venue staff to manage rigging, power distribution, scheduling, and all on-site safety requirements
The Result
The event started on time and ran without technical issues. Playback and visuals performed reliably, and the LED wall, previously a problem, became a visual highlight of the event. Cue calls were accurate, presenters felt supported and confident, and the client team was free from managing tech or troubleshooting issues on site.
The client was pleased with the outcome and has already invited us to participate in the planning phase for their next annual meeting.
